Manage group costs
Track a shared group fund
Record contributions and fund-paid expenses, without confusing bookkeeping with a money transfer.
What the current group fund does
A group fund helps the trip keep track of money members agree to contribute and costs paid from that shared pool. In the current bookkeeping workflow, adding a contribution or marking it paid does not collect money from a card, bank account or crypto wallet.
Set the contribution per person
A group contribution amount is applied to each selected contributor; it is not divided between them. Choose the accepted members who should contribute and check the total implied by that selection.
| Example | Amount per contributor | Contributors | Expected total |
|---|---|---|---|
| Weekend transport fund | 300,000 VND | 4 people | 1,200,000 VND |
| Museum tickets fund | 200,000 VND | 3 people | 600,000 VND |
Track collection and spending
- Agree how the money is collected
Your group chooses who holds the money and how members pay them. OnePlan’s record does not carry out that transfer.
- Mark contributions accurately
Only mark a contribution paid after the person collecting it confirms receipt.
- Record purchases from the fund
For a cost paid with group money, choose the group fund as the payment source and the members who shared the cost.
- Reconcile the remaining balance
Compare the ledger with the money actually held. Check missing contributions, duplicate expenses and payer selections before settling differences.
Why doesn’t the balance match?
- A contribution is recorded but has not actually been received.
- A personal payment was mistakenly recorded as fund-paid, or the reverse.
- Someone who did not participate was included in the split.
- An expense was entered twice, or the original currency was incorrect.
Resolve the record and the real payment separately. Changing a bookkeeping status does not reverse an external transaction.
